How do I navigate the Zoom passcode/waiting room security features?

Important Notice Regarding  Security Updates:

As of September 14, 2020, any Zoom meetings scheduled or edited at Tufts will automatically have a passcode added.

If you are scheduling a new meeting

For class sessions, or a large group, we recommend that you keep a passcode on (as of 9/14/2020, any Zoom meetings scheduled at Tufts will automatically have a passcode added). Here are the instructions on how to work with a passcode:

https://support.zoom.us/hc/en-us/articles/360033559832-Meeting-and-webinar-passcodes

For office hours, or for individual meetings, we recommend that you enable a waiting room. Here are the instructions on how to enable a waiting room:

https://support.zoom.us/hc/en-us/articles/115000332726-Waiting-Room

If you have already scheduled your meeting

For class sessions, or a large group, you can add a passcode by simply clicking on 'edit this meeting' and then clicking on 'save'.  For meetings scheduled through Canvas, the student join link will automatically be updated with the passcode on their Zoom meeting list in Canvas, as well as on the course calendar, so no further communication is necessary. If students run into trouble joining the meeting, they can view their invitation on their Canvas Zoom page, which displays the meeting ID and passcode. For meetings scheduled through tufts.zoom.us, the participant join link will automatically be updated with the passcode and this new link MUST BE SHARED OUT TO YOUR PARTICIPANTS. Here are the instructions on how to set a passcode:

https://support.zoom.us/hc/en-us/articles/360033559832-Meeting-and-webinar-passcodes

For office hours, or for individual meetings, you can edit the meeting occurrences to enable a waiting room. Waiting room settings do not affect the participant join link. Here are the instructions on how to enable a waiting room:

https://support.zoom.us/hc/en-us/articles/115000332726-Waiting-Room

If your meeting has already started

If students run into trouble joining a meeting scheduled in Canvas, they can click the join link on their Canvas Zoom page or view their invitation on their Canvas Zoom page, which displays the passcode. If students run into trouble joining a meeting scheduled in tufts.zoom, you can provide them with the passcode. This can be found on the meeting invitation in your Zoom meeting list, or by clicking on the meeting information icon (green shield) in the upper left hand corner of your Zoom hosting window, or by clicking 'invite' at the bottom of the Zoom participant panel.

If students run into trouble joining a meeting that has a waiting room, you can manage the waiting room during the meeting by simply turning off the waiting room feature, or by admitting participants. Here are the instructions on how to manage a waiting room:
