Language Placement Test Support

Overview

Chinese, Japanese, German, and Italian will be using a Qualtrics-based test for placement. The tests will be taken by students in various rooms in the Tisch Library on Thursday, August 31st between 8:30AM and 11:30AM. This will be the first year that all languages are using the Qualtrics-based test so we may have unforeseen issues. I have described the support I'll need you to provide as best I can below, but I'll also need to rely on your general technical expertise to help when issues come up.

Time & Location

Chinese - Hirsh Reading room (time slots at 8:30 and 10:30) **Students bring their own device (laptop, tablet, etc)

Japanese - Mark Lab (time slots at 8:30 and 10:30)

German - Data/GIS Lab (time slots at 8:30, 9:30, and 10:30)

Italian - Electronic Resource Center (time slots at 8:30 and 10:30)

  • All tests take 45 minutes to an hour to complete.
  • We don't take or track attendance. Pre registration is just a way to prevent all of the students from showing up at once. If there is space any student can sit down and take the test.
Test URLs

Each test will have a bit.ly link. Students will use these links to log in and take the test.

 

Instructions for Students
  1. Open Firefox
  2. Go to the Test URL (see above) and log in with your Tufts username and password
  3. Complete the survey then begin the test
  4. DON’T GUESS, just skip the questions you cannot answer
  5. The test will take around 45 minutes
  6. Close/Quit Firefox when done
  7. See the test coordinator after completing the test for the oral interview (Italian has no interview)
Instructions for Coordinators
  1. Go to https://tufts.qualtrics.com and log in with your Tufts username and password
  2. Click on the project for your language
  3. Click on Data & Analysis to see student results (Chinese uses a printed report)
  4. If you don't see the correct columns, see Configuring Data & Analysis below
Login Issues

Students use their Tufts username and password to log in to the tests. These are the same credentials they use to log in to the student information system, trunk, or their email. If they are having trouble, try these steps.

Have the student try logging in to Canvas

The same credentials are used to log in to Canvas (https://canvas.tufts.edu). If they can log in to Trunk have them try the test URL again.

Username lookup/password reset

If they can't log in to other systems they may not know their username or password, have them go to https://tuftstools.tufts.edu/index.html to recover their username and/or reset their password.

Have the student call the TTS Service Desk (617-627-3376)

Restarting Incomplete Tests

If a student closes their browser and re-opens it they won't see the answers they completed. We will need to manually send them a link to their unfinished test in order for the student to complete it.

Go to the Data & Analysis tab

Click on "Responses in Progress"

Click on "Survey Session ID" to see identify the correct test attempt

IMPORTANT: on this screen the the identifying fields (name & email) will be blank. To confirm the correct attempt you must click the Survey Session ID which will open up the test for you to view.

The student's name and UTLN is listed at the top of every test. Make sure that you are looking at the right test.

Close the exam view and click the check box to the left of the Session ID

Note that there will be two responses for the student: one that they initially started and one that started when they re-opened the browser. Select the most complete attempt (highest percentage in the "Progress" column).

From the "With Selected" drop-down select "Close"

The attempt will be greyed out in the list. and will say "Pending Close..."

Click "Recorded Responses" and refresh your browser window

The student's attempt should now show up on the list. You may need to refresh several times before the attempt will appear (the "Responses in Progress" number will go down and the "Recorded Responses" number will go up.

Click anywhere in the row for the the student's incomplete attempt on the "Recorded Responses page"

Click the menu in the upper right-hand corner and select "Retake Response"

Provide student URL and have them confirm that they can see their previous answers

NOTE: The "Retake Response" URL will star the student off on the very first page of the test but if they click through they should see their answers. The student needs to click "continue" until they get to where they left off.

Closing Out Incomplete Tests

if a student gives up and stops taking the test before reaching the end of the test their results will not show on the Data & Analysis tab or in Reports. If the student is unwilling to click through to the end of the test you can "close" their test and have it show up on the Data & Analysis tab, but some of the scoring may not show because they did not finish the test.

NOTE: No scoring will appear on the Chinese report if they do not click through to the end.

Go to the Data & Analysis tab

Click on "Responses in Progress"

Printing out Chinese Score Report for Students

Students taking the Chinese placement test get a printed report to take to the oral portion of the exam. There will be a printer installed in the Hirsch reading room for this purpose. Here is how to print the report

1. Install the Report

1.2. Log in to Qualtrics

1.3. Open the Chinese Placement Test project (will be named for the day)

1.4. Click on "Reports" then "Reports" then "View Classic Reports"

1.5. Click "Create new Report"

1.6. Title the report "Chinese Placement Results Report" and click "Create"

1.7. Click cancel on the "Generate Report" screen that pops up

1.8. Click "Share" (all the way to the right) and select "Import from QRF"

1.9. Select the downloaded .qrf file and click "Import"

2. Click on the "Report Level Filter"

3. In the "Filter By Embedded Data Is Contains" field put in the students Tufts User ID, make sure the date is the date of the test (2017-08-31), then click "Save"

4. Click "Share" and select "Print" and Qualtrics will download a PDF to your hard drive that you can print

5. IMPORTANT - Open the PDF and make sure it's for the right student!

Qualtrics saves the report with the same title every time, so be careful to print out the correct one for the student.

Configuring Data & Analysis for German, Italian, and Japanese

Because the grading categories are different for each test and the Data & Analysis tab needs to be configured by each person (settings for that tab aren't shared between users), follow these instructions for configuring this page for each language.

German Data & Analysis Setup

Click "Tools > Choose Columns > Embedded Data" and select the following columns:

Filtering Data & Analysis to find a specific student

Click "Add Filter" and select "Embedded Data > LastName"

In "Select Operator" chose "Contains" and type the student's last name (in full or in part) in the search field
