Navigating Course Roster

Course Roster functionality is based on permissions.  There may be some descriptions and examples in this documentation that are not available to all users.

OASIS is the system of record for student schedules and course rosters. All changes and updates to schedules and rosters must be made in OASIS. Those updates will be fed to other systems that rely on clinical data.

Based on a user's permissions, a user can:

  • Add students to a course
  • View student information, schedule and comments
  • Add comments
  • Drop or modify a student in the course
  • Unlock the student's access to the course (i.e. allow the student to add or drop courses)
  • View a student's Academic History

Finding a Course

To find the entire course roster for a clinical course, click on "Course" from the top toolbar.  A course must always be first selected or changed.

  1. Select Year
  2. Select Department
  3. Select Course
  4. Click Enter Roster. The Course Roster appears.

If "Enter Course" is clicked, the course menu appears. Click "Course Roster."

Select the start date and location.

To look at a range of dates, click the "Entire Year" checkbox for complete course roster or type a number of start dates.

Click Refresh List.

Students can be added by selecting "Add Student."

Remove All - Do not use this tool.  

Student schedules change constantly. If a report is exported and posted in an environment where accuracy is crucial, please update the Course Roster Report on a regular basis.

Below are the features and tools available to the Director role:

  • Student Information
  • Schedule
  • Comments
  • Drop and Modify
  • Unlock
  • Academic History

This view also provides the start and end dates and location of the rotation.  

The top toolbar of the course roster information area allows the user to filter the list within the predefined start dates and rotations.

Printing to a PDF from Course Roster for a Clinical Rotation Schedule

If there is a need for a static version of the course roster, create the report and print it as a PDF.

Select the start date and location.

To look at a range of dates, click the "Entire Year" checkbox for complete course roster or type a number of start dates.

Click Refresh List.

Once the list is loaded, use one of the options below:

  • Export to CSV
    • "Export to CSV" creates a report that can be filtered and edited in Excel.
  • Export to PDF
  • Print View

Below is an example of the "Export to PDF" view. The students are numbered and listed alphabetically. When the student numbering restarts at 1, that represents a new start date.
