How to Create the Breakout Room .CSV

Zoom usernames are formatted like an email address, but unlike an email address, they are case sensitive. Your participants may have a zoom user names that are not in the typical format. For these reasons, you must generate a report from zoom to find out your participants actual usernames.

Reports can only be run on meetings you have previously held on zoom. Members of your class that did not attend that particular meeting will not be in the report.

NOTE: you can also generate this report in as a usage report.  Contact if you have questions. 

Open Previous Meetings Tab in Canvas

Click the Report Button

Export the Report as a CSV File

Create the Break Out Room CSV for Importing

Open the .csv that was downloaded to your computer in excel. Modify it so that the A column is labeled "Pre-assing Room Name" and the B column is labeled "Email Adress" (see screenshot above). Match your students zoom usernames, with the break out room you would like them to be assigned. 

  1. The first column, (the one listing the Break out rooms) can not have spaces.
  2. The participants column must be formatted as text (not as a set of email links)

Save the file as a .csv

A .csv is a file type that can be created, opened, and edited by excel. When a .csv is in excel, it functions very similarly to a normal excel document.

When Saving the file from excel be sure and choose SaveAs, and then select .csv from the list of file types.
